• Job Summary
The Bid & Tender Manager role is critical to the achievement of business objectives and will
directly influence the growth and reputation of the business and responsible for supporting the
development of new business opportunities through key client identification and engagement
and dramatically increasing the success rate of our bids.
Key Responsibilities
• Managing the preparation, completion and submission of bids, proposals and submissions.
• Ensuring that all bids, submissions and proposals are of the highest quality of content and
presentation, and are submitted correctly and on time.
• Coordination of the activities of bid teams including dedicated bid resources (e.g. Country
manager & Africa Regional Manager) and operational resources allocated to support specific bids.
• Identifying and where possible developing new business opportunities passing them to
operational leads within the relevant Sectors.
• Introducing innovation in processes, systems and services to ensure my client establishes
and maintains competitive advantage.
• Further develop and implement selection criteria for ITT and RFQ/RFI applicable to WCT
product lines
• Undertake commercial reviews, technical reviews and operational Integrity reviews
• Review and evaluate general client technical specifications and contract requirements; -
Coordinate, disseminate and expedite required information between all involved departments
• Plan and monitor all activities related to the technical analysis and costing of equipment
and components that are part of the tender and / or strategic bidding processes or projects in
order to meet all the customer requirements
• Work with the Country Manager & Africa Regioanal Manager to create & develop the
proposal strategy, type of response, scope of work and main proposal themes for each
proposal, assuring that the relevant material required for approval and review is
completed and auditable.
• Manage tender preparation and approvals in accordance with company policies and
procedures
• Support effective and compliant post-contract commercial management
• Prepare monthly or quarterly (based on requirements) activity reports. Analyze and report
regarding win/loss tenders.
• Create tender support material – generic, customer specific, application specific and
region specific.
• Ensure that all relevant data and information compiled during the tender development
phase is considered and made available to all Tender team members;
• Maintain accurate records and files of all the tender data;
• Liaise with all tender team members to ensure accuracy and compliance with customer
requirements and the commercial strategy as defined by the Global Proposals Manager
and Strategic BD team
• Review original writing by tender team members and assist in the development of the
qualifications
• Ensure and technical or commercial clarifications are expedited in a timely fashion.
• On contract award, handover to Country manager and operations supervising and
reviewing necessary input to business/ project set up, ensuring coordination/
administration procedures are in place
• Highly motivated, tenacious, organised and proactive with well-developed written and
verbal communications, interpersonal, influencing and presentation skills.
• Experience of tendering and proposal management in oilfield related services
• Working with dispersed team incorporating multi-cultural resources based in a variety of
geographies
• Responsible for the whole tendering process: starting with gathering of the required
marketing data, ensuring that company is an approved service provider in operating company's
bidder list, ensuring bid invitation, preparing and submitting all the tenders documents (liaison
with the PL Directors, management and all concerned departments), supervising tender
submission and responsible for following up tendering cycle at the customer(s) until tender
evaluation is finalized and contract is signed.

Analyze reason(s) of tender(s) award and/or refusal.
Marketing analysis for the lost tenders and shooting future Operations .
Advisor for the Scope of Work, Operation Program of the candidate wells and for the
identification of the required services and materials.
Advisor for Contracting type (integrated solutions or discreet contract).
Negotiating with the service companies (local/multinational) to obtain best offers.
Responsible for offers evaluation, Purchase Orders, MSA's or any Contracting type.
Responsible for contracting all required services and materials (contracting procedures, terms &
conditions, liabilities, remuneration…)
Visits customers to evaluate work performance, ascertain customer needs, endeavors to resolve

SPECIFIC RESPONSIBILITIES
• Prepare and submit the pre-qualification package, bids and tenders to the client within the given timeframe.
• Handle all the new client enquiries promptly, including the invitation to tender and request for quotation from
the client.
• Compile and maintain the tender working files, brochures, write-up and related
correspondence documents in timely manner to ensure up-to-date of the tender
information for effective tendering / bids.
• Analyses and review the tender / contract requirements, obligations, provisions, terms
and conditions to ensure the compliance of the business to the relevant laws, regulations,
corporate policies and business unit’s procedures at all times.
• Monitor the expiry of tender / contract in order to alert the business unit to confront the
client promptly in ensuring the sustainability of the business tenders.
• Work closely with the Project Manager in drafting, reviewing and negotiating a
commercial viable tenders and contracts.
• Provide constructive recommendation to the Country Manager on the contractual queries
/ clarification raised by the client.
• Ensure the correct implementation of the relevant procedures and instruction
requirements for the preparation of subcontractors, including assessment on the
exceptions and qualifications from the subcontractors.
• Ensure the relevant group working procedures and instructions are being applied during
the life cycle of the project.
• Be as effective administrator in maintaining the Change Order Database.

Analyze and report regarding win/loss tenders. • Create tender support material – generic, customer specific, application specific and region specific. • Ensure that all relevant data and information compiled during the tender development phase is considered and made available to all Tender team members; • Maintain accurate records and files of all the tender data; • Liaise with all tender team members to ensure accuracy and compliance with customer requirements and the commercial strategy as defined by the Global Proposals Manager and Strategic BD team • Review original writing by tender team members and assist in the development of the qualifications • Ensure and technical or commercial clarifications are expedited in a timely fashion. • On contract award, handover to Country manager and operations supervising and reviewing necessary input to business/ project set up, ensuring coordination/ administration procedures are in place

SPECIFIC RESPONSIBILITIES • Prepare and submit the pre-qualification package, bids and tenders to the client within the given timeframe. • Handle all the new client enquiries promptly, including the invitation to tender and request for quotation from the client. • Compile and maintain the tender working files, brochures, write-up and related correspondence documents in timely manner to ensure up-to-date of the tender information for effective tendering / bids. • Analyses and review the tender / contract requirements, obligations, provisions, terms and conditions to ensure the compliance of the business to the relevant laws, regulations, corporate policies and business unit’s procedures at all times.
