How many engineers does it take to redesign the Panama Canal?
More than 400. And none could afford to make a mistake excavating 3.5
billion cubic feet of earth to expand the iconic global trade channel. To
manage this extraordinary level of complexity, engineers used Autodesk’s
3D computer aided software solutions. A leader in 3D design, engineering
and entertainment software, Autodesk is no stranger to projects of historic
significance – its innovative tools are used by millions of people across
industries including architecture, engineering, construction, manufacturing
and media and entertainment.
For Autodesk to deliver its solutions on a global scale, the California-
based company employs more than 9,500 people in 100 offices across 37
countries. Travel is a critical part of business success – making T&E expense
management equally critical to the organization’s bottom line. With Concur
Travel and Concur Expense already in use, Autodesk needed a way to
analyze its transactional spend without further straining resources.

About Autodesk
Autodesk makes software for people who make things. If you’ve ever driven
a high-performance car, admired a towering skyscraper, used a smartphone,
or watched a great film, chances are you’ve experienced what millions of
Autodesk customers are doing with its software.
“We had a small team of people managing the
T&E process for thousands of employees around
the globe,” says Carolyn Hardee, Corporate Card
Program Manager at Autodesk. “We could only
do spot checks based on certain criteria so we
knew we had gaps in our process. But manually
reviewing so much data felt like I was trying to
swallow the ocean.”

Detecting Anomalies in T&E Spend
“We knew we had instances of out-of-pocket transactions
that should have been on the corporate card, and we
also had some concerns around high risk transactions
and duplicate expenses,” Hardee says. “Through an initial
analysis by Oversight, we realized we had even more
gaps than we thought.”
Oversight Systems, a software company that automates
spending program compliance, has found that most
organizations have T&E purchases that occur outside
of those booked by travel management companies –
including out-of-pocket expenses, travel emergencies and
other items that go on corporate cards. With the average
monthly spend at $2.6 million per organization, or $2,767
per card, these are the least controlled expenses and
represent a gray area where advanced analysis can
identify opportunities to improve control and eliminate
wasted spend.
Autodesk used Oversight’s pre-built integration with
Concur to seamlessly automate data acquisition. The
company then analyzed its expense data through
Oversight Insights On Demand, a web-based software
solution, which incorporates advanced analytical
techniques to immediately identify high risk transactions,
unusual spend patterns, excessive and unusual out-of-
pocket activity, and duplicate expenses.
“The ROI on this tool has been 6.5 times what we paid for it. We now
have visibility into every single expense report, which is invaluable.
And it has also been hugely educational for changing behavior among
our employees since it has allowed us to promote the use of corporate
cards over cash.”

Global Visibility. Measurable Returns.
“Oversight’s solution was far better than anything we
could have come up with on our own,” Hardee says. “It
helped us navigate the process much better and more
efficiently. And it also allowed us to track responses from
employees and determine a resolution.”
For many Oversight clients, improved processes have led
to increased policy compliance, reducing policy violations
by up to 70% within six months. For Autodesk, it also
improved resource efficiency and transparency.
“The ROI on this tool has been 6.5 times what we paid
for it,” Hardee says. “We’ve been able to save time
and resources. We now have visibility into every single
expense report, which is invaluable. And it has also been
hugely educational for changing behavior among our
employees since it has allowed us to promote the use of
corporate cards over cash.”
No more manual processes. No more questioning the
best criteria or approach for analyzing mountains of data.
Oversight and Concur’s integrated solution improves
efficiencies in expense management, allowing Autodesk
to focus on what it does best: helping people imagine,
design and create a better world.
