Effective collaboration in projects
The Principal Toolbox is a web-based software solution to
professionally manage projects, programs and portfolios. Thanks
to built-in support for PRINCE2, Stage-Gate and AgilePM, you
can effectively and efficiently manage your projects. Each best
practice can be customized to seamlessly fit with the processes
in your organization. You can also combine these best practices
in the Principal Toolbox.
With the Principal Toolbox any project – large or small, simple or
complex – can be managed. Projects are managed based on a
project model which can be tailored. This model can be based on
existing best practices such as PRINCE2 or AgilePM.
PRINCE2
When using PRINCE2, the scope of the project is more or less
fixed. A project plan will be made, containing the budget for
costs, hours and quality requirements. Projects in the Principal
Toolbox can be fully managed based on PRINCE2. For example,
the software contains all document templates, you can apply
product-based planning, define stages and quickly create a
product breakdown.
It is possible to capture the project plan by using the Gantt editor.
Stages, work packages and products can be planned by dragging
them across the Gantt. Products are then assigned to project
team members. Creating the Project Initiation Documentation
(PID) is just one click of a button.
In addition, all PRINCE2 logs are available for capturing issues,
risks, actions and changes. By using the automated reports it
possible to inform all the stakeholders about the progress of the
projects with just one click of a button.
AgilePM
AgilePM projects are fundamentally different from PRINCE2
projects. When using AgilePM, the available time, budget and
quality requirements are fixed; the only variable is the scope of
the project. Additionally, AgilePM includes iterations which makes
it is easier to make adjustments during the project.
The Principal Toolbox contains a specific project model for
AgilePM. With this model it is possible to manage a project
according to the AgilePM principles. With the AgilePM project
model it is possible to use a backlog, which enables you to
capture epics, user-stories and bugs. By using the backlog, it is
also possible to prioritize items, for example based on MoSCoW.
Based on their priority, items from this list can be added to a
sprint or iteration in the project plan.
PRINCE2 and AgilePM are two commonly used best practices for project management. These
methodologies assist project managers in effectively setting-up and executing their projects. The

These sprints can be pre-defined periods (time boxes) with a
fixed budget. In the Principal Toolbox, the project manager is
able to plan and develop multiple products at the same time with
various project members. Incremental development based on
e.g. Scrum is also possible.
The AgilePM project model also contains a digital task board
or Kanban board. It displays the plan items per stage and it
is possible to drag and drop items onto the next stage. Thus,
the progress per sprint and user-story is immediately clear to
the entire project team. In addition, the burn down is instantly
displayed and updated when items are moved to the next stage.
Customized project configuration
In the Principal Toolbox you have full control over how you want
to use the best practices and supplied project models. You
can configure separate project models for simple and complex
projects, or for projects based on PRINCE2 and AgilePM. By
using the ‘drag & drop’ functionality you can customize your
project model. The customization of project models is simple
and has to be done only once. In addition, it is also possible
to combine elements of AgilePM (for example, time boxes or
sprints) with elements of PRINCE2 (for example, PID or product
breakdown). The software is extremely flexible and allows you to
create and apply your own unique approach, to optimally support
project managers and increase the quality of projects.
Uniform reporting
Even if you use different project models it still remains possible
to aggregate data to higher levels. It is possible to use the same
reports and capture the same information in both project models,
so you can report progress uniformly. This allows you to timely
inform all stakeholders about the projects.
