OERCA SUMMARY
OERCA is a sophisticated electronic record management system for
zoological institutions, rescue centers and field operations.
OERCA is the product of over fifteen years of intensive development driven through hands-on work
and real time field applications. OERCA was developed out of necessity from the ground up by
zoological professionals, behaviorists and front line animal managers. It was not adapted from other
database systems; but was built from scratch for one purpose: to collect, analyze and synthesize the
specialized information needs in the animal community from field research operations to daily
zoological management.
OERCA is currently being utilized in six counties and manages the information needs for over 12,800
different species. The system is also available in three different languages with more on the way.

ANIMAL RECORDS
OERCA was designed by front line animal professionals to satisfy the need for
intuitive data entry and immediate feedback while working in the field.
The two primary goals originally conceived in the development of OERCA were straightforward:
CREATE A SIMPLE METHOD FOR RECORDING DAILY ANIMAL RECORDS SO
CAREGIVERS' TIME COULD BE SPENT DOING OTHER MORE IMPORTANT DUTIES.
ALLOW FOR IMMEDIATE AND USABLE FEEDBACK FROM COLLECTED DATA.
This is not only accomplished through an efficient method of entering data, but also with a system
that enables record collection to be done on-the-fly and in-the-field; thus eliminating the practice
of writing up multiple records to cover large chunks of the day. This aspect alone greatly
improves accuracy of information while also improving time management. OERCA's intuitive user
interface allows for easy navigation of the system while providing simple and logical data entry
procedures, often with just the touch of a button.
The developers of OERCA found themselves sifting through illegible paperwork, complex excel
spreadsheets, and even desktop-bound databases trying to find and build relevant queries of
information that had been collected. Much time was wasted and the results were often too late
to make any useful decisions in day-to-day operations. OERCA solves this problem with at-a-
glance charts and gauges updating the most critical data points in real-time.

HEALTH MANAGEMENT
A tremendous amount of attention was given to the way in which OERCA
collects and analyzes vital medical information.
Like the daily animal records, OERCA was designed to allow for intuitive inputs combined with quick
and relevant output. OERCA even allows third-party labs to directly upload lab results to the system,
making essential metrics immediately accessible to designated user-groups across the entire system.
Our Animal Health Record (AHR) module puts all puts all the most important tools right at your
fingertips for easy access. Blood chemistries, medication regimens, morphometrics, cultures and
other diagnostic information can all be collected and reviewed against historical trends, value ranges
and date ranges. OERCA even has a built in resource guide that provides decision support guides on
CRC indicators and Plumb's Desk Reference with recommended medication dosages per species and
other relevant parameters with the touch of a button.
Caregivers and front-line staff have the capability to inform managers and veterinarians immediately
and simultaneously via OERCA’s Priority Notice system. This is an automated system messaging tool
that communicates high priority information in real-time allowing managers and veterinary staff to
respond to specialized care through timely and accurate information sharing.
What's more, veterinarians will have the ability organize all available metrics in any manner they wish
by simply clicking on the values they would like to evaluate and the order in which they prefer to view
them. These "preferences" can then be saved into named Profiles, allowing for easy future access
whenever those particular preferences are required again. A veterinarian can define and save as
many named Profiles as they like, allowing for a customized review depending on the particular
circumstance.

In traditional setups, applications are installed on every computer in a network. Whenever a new
computer is added or after a hard disk has failed, a system administrator must go through

REPORT PREPARATION

reports to satisfy such things as agency inspections and annual Marine Mammal Inventory reporting.

FACILITY TRACKING
Although OERCA was initially designed to record and follow animal information, it naturally grew out
of necessity to accommodate other important tracking capabilities. The result: OERCA is a full
spectrum facility management system capable of tracking important and required government facility
records. Examples include refrigeration/freezer logs, water quality reports and area husbandry
schedules. OERCA also tracks important operational data such as food inventory, pharmacy inventory,
staff scheduling, event scheduling and more. Through OERCA's many "event handlers" built into the
system, even refrigerator maintenance requests and service calls are integrated and tracked in the
Area Husbandry tools.

COMMUNICATION SYSTEM
OERCA believes that whenever possible, information should come to you; and

With this in mind, OERCA has developed a powerful communications center that allows managers and
veterinarians to configure a wide variety of notices and alerts; which are automatically sent to
designated recipients. Just a few of our most popular notices include:
Priority Notice
Hot Sheets
Daily Summaries
OERCA’s Priority Notice is one of the system’s most utilized features; and is a rapid team
communication tool designed to alert key personnel in the event of an urgent care need. The
Priority Notice form is configured to be filled out rapidly, recording only the most essential
information. Once submitted, it will notify all designated recipients immediately and
simultaneously of any situation.
Many organizations within the zoological field establish some form of notebook or record
keeping system to document non-emergency animal and environmental issues or events.
OERCA's Hot Sheet feature is designed specifically for this purpose: a broad-spectrum tool or
catchall for communicating and archiving non-emergency, non-critical changes in environment,
animal physiology and/or animal behavior. All records are archived and can be easily searched
by animal, date or even words/phrases in a comment; making finding historical information
simple and quick.
A variety of daily summaries specific to your operations are available so managers can get a
quick overview of the day’s activities. Information regarding interaction times, food intake,
number of sessions, guest programs and more are sent each day at a chosen time. Aquarium
summaries show census information, as well as events tracking data. There are even daily
summaries for Dive Operations.

SECURITY
OERCA has made security a top priority and utilizes best practices to make
certain that information remains safe and protected.
Here are some of OERCA's key security and data integrity features:
SERVER SECURITY
Raw data is parsed among hundreds of “tables” in Microsoft SQL.
OERCA utilizes a proprietary application server, completely
separate from MS SQL. The OERCA application server employs a
myriad of security protocols of its own, in addition to that of the
back-end MS SQL tables.
All systems are protected from intrusion via state-of-the-art Cisco PIX firewalls located at its
perimeter.
DATA INTEGRITY AND BACKUP
OERCA servers are managed and maintained with all the latest technology and upgrades 24/7
by a dedicated IT team specializing in Dedicated Server (DS) management.
Data backup within the OERCA server is conducted several times throughout the day.
Complete backup of the DS at an offsite location is completed once every 24 hours.
OERCA DS is protected from power outage with 911-grade backup generator reliability.
Redundancy: OERCA DS utilizes multiple carrier connections to the Internet. Your connection
to OERCA stays up even if one carrier goes down.
USER-LEVEL SECURITY
User roles are assigned with various permissions and access levels.
Each OERCA Client has the ability to track their own user activity. Manager user-roles can see
exactly who logged into OERCA, where they went and how long they were there; and can also
“disable” users, temporarily or long-term, without having to remove that user’s profile.
OERCA Admin never knows your password and does not have access to your data. Once a
subscriber is added to the system, they are required to reset their password on initial setup.
After that, no one but that user knows their password.

  • 4. 2 OERCA SUMMARY OERCA is a sophisticated electronic record management system for zoological institutions, rescue centers and field operations. OERCA is the product of over fifteen years of intensive development driven through hands-on work and real time field applications. OERCA was developed out of necessity from the ground up by zoological professionals, behaviorists and front line animal managers. It was not adapted from other database systems; but was built from scratch for one purpose: to collect, analyze and synthesize the specialized information needs in the animal community from field research operations to daily zoological management. OERCA is currently being utilized in six counties and manages the information needs for over 12,800 different species. The system is also available in three different languages with more on the way.   • 6. 4 ANIMAL RECORDS OERCA was designed by front line animal professionals to satisfy the need for intuitive data entry and immediate feedback while working in the field. The two primary goals originally conceived in the development of OERCA were straightforward: CREATE A SIMPLE METHOD FOR RECORDING DAILY ANIMAL RECORDS SO CAREGIVERS' TIME COULD BE SPENT DOING OTHER MORE IMPORTANT DUTIES. ALLOW FOR IMMEDIATE AND USABLE FEEDBACK FROM COLLECTED DATA. This is not only accomplished through an efficient method of entering data, but also with a system that enables record collection to be done on-the-fly and in-the-field; thus eliminating the practice of writing up multiple records to cover large chunks of the day. This aspect alone greatly improves accuracy of information while also improving time management. OERCA's intuitive user interface allows for easy navigation of the system while providing simple and logical data entry procedures, often with just the touch of a button. The developers of OERCA found themselves sifting through illegible paperwork, complex excel spreadsheets, and even desktop-bound databases trying to find and build relevant queries of information that had been collected. Much time was wasted and the results were often too late to make any useful decisions in day-to-day operations. Like the daily animal records, OERCA was designed to allow for intuitive inputs combined with quick and relevant output. OERCA even allows third-party labs to directly upload lab results to the system, making essential metrics immediately accessible to designated user-groups across the entire system. Our Animal Health Record (AHR) module puts all puts all the most important tools right at your fingertips for easy access. Blood chemistries, medication regimens, morphometrics, cultures and other diagnostic information can all be collected and reviewed against historical trends, value ranges and date ranges. OERCA even has a built in resource guide that provides decision support guides on CRC indicators and Plumb's Desk Reference with recommended medication dosages per species and other relevant parameters with the touch of a button. Caregivers and front-line staff have the capability to inform managers and veterinarians immediately and simultaneously via OERCA’s Priority Notice system. This is an automated system messaging tool that communicates high priority information in real-time allowing managers and veterinary staff to respond to specialized care through timely and accurate information sharing. What's more, veterinarians will have the ability organize all available metrics in any manner they wish by simply clicking on the values they would like to evaluate and the order in which they prefer to view them. These "preferences" can then be saved into named Profiles, allowing for easy future access whenever those particular preferences are required again. A veterinarian can define and save as many named Profiles as they like, allowing for a customized review depending on the particular circumstance.

With this in mind, OERCA has developed a powerful communications center that allows managers and veterinarians to configure a wide variety of notices and alerts; which are automatically sent to designated recipients. Just a few of our most popular notices include: Priority Notice Hot Sheets Daily Summaries OERCA’s Priority Notice is one of the system’s most utilized features; and is a rapid team communication tool designed to alert key personnel in the event of an urgent care need. The Priority Notice form is configured to be filled out rapidly, recording only the most essential information. Once submitted, it will notify all designated recipients immediately and simultaneously of any situation. Many organizations within the zoological field establish some form of notebook or record keeping system to document non-emergency animal and environmental issues or events. OERCA's Hot Sheet feature is designed specifically for this purpose: a broad-spectrum tool or catchall for communicating and archiving non-emergency, non-critical changes in environment, animal physiology and/or animal behavior. All records are archived and can be easily searched by animal, date or even words/phrases in a comment; making finding historical information simple and quick. A variety of daily summaries specific to your operations are available so managers can get a quick overview of the day’s activities. Information regarding interaction times, food intake, number of sessions, guest programs and more are sent each day at a chosen time. Aquarium summaries show census information, as well as events tracking data. There are even daily summaries for Dive Operations.

Here are some of OERCA's key security and data integrity features: SERVER SECURITY Raw data is parsed among hundreds of “tables” in Microsoft SQL. OERCA utilizes a proprietary application server, completely separate from MS SQL. The OERCA application server employs a myriad of security protocols of its own, in addition to that of the back-end MS SQL tables. All systems are protected from intrusion via state-of-the-art Cisco PIX firewalls located at its perimeter. DATA INTEGRITY AND BACKUP OERCA servers are managed and maintained with all the latest technology and upgrades 24/7 by a dedicated IT team specializing in Dedicated Server (DS) management. Data backup within the OERCA server is conducted several times throughout the day. Complete backup of the DS at an offsite location is completed once every 24 hours. OERCA DS is protected from power outage with 911-grade backup generator reliability. Redundancy: OERCA DS utilizes multiple carrier connections to the Internet. Your connection to OERCA stays up even if one carrier goes down. USER-LEVEL SECURITY User roles are assigned with various permissions and access levels. Each OERCA Client has the ability to track their own user activity. Manager user-roles can see exactly who logged into OERCA, where they went and how long they were there; and can also “disable” users, temporarily or long-term, without having to remove that user’s profile. OERCA Admin never knows your password and does not have access to your data. Once a subscriber is added to the system, they are required to reset their password on initial setup. After that, no one but that user knows their password.
