 Social Media Policies are not a one size fits all. The right policy for your organization will reinforce your
 organizations existing culture and provide practical guidance to those governed by the social media policy.

               These guidelines have been developed for employees and contractors who:
                 •    Maintain blogs – personal or professional – that mention company or our client work.

                 •    Post content about company and our client work on social properties including, but not
                      limited to: Twitter, YouTube, Facebook, MySpace, SlideShare, Flickr, any public blog.


               Employees and contractors are personally responsible for what we write on blogs including Twitter.
               Irresponsible blogging can risk legal action against company. However, thoughtful commentary
               makes you and your colleagues shine.

 Must haves:

 2. Dos and Don’ts: Example

         • Be professional
         • Don’t cite clients or talk about specific client projects
         • Communications inside Company including emails among employees are proprietary.
         • Respect Copyright laws
         • Do not post material that could be considered embarrassing, harassing, obscene, defamatory,
           libelous, threatening to any person or entity. Do not post words, jokes, comments based on an
           individuals gender, sexual orientation, race, ethnicity, age, or religion.

         • If you are uncertain, ask your manager.
         • Be truthful, open and accountable - never plagiarize, be authentic, correct mistakes promptly
         • Cite your sources when you can and allow comments on what you post. Reveal your personal
           affiliations and conflicts of interests.

Clear Expectations. Regardless of how your company uses social media, your policy should be made crystal clear. Identify each popular social media outlet and explain what
 use is acceptable at your company. Obviously, companies are held liable for their employees’ behavior so be sure to review the legal consequences of social media use. That
 said, if an employee understands the policy but misuses social media, his behavior and professional judgment should be called into question, not their online use.




        Agency monitoring policy - In the event that an employee does not comply with the guidelines, a number of actions
        may be taken, including counseling by management, reprimand, and termination with cause.

        Be ready to update as needed.


Flexibility. Social media is evolving all the time. As a result, your policy should, too. Stay on top of what’s new with social
media and how it is being used. If your policy needs to be changed, change it –but be sure that all of your employees are
made aware. Maybe you could post the changes on your private employee Facebook group? It’s an idea.

  138. 1. Visibility - how many times have you seen or heard of a business and gone online to learn more about them or searched for their product? It’s become part of the lifestyle these days. If you are a credible company, then you are expected to have - at the very least - a website and a Facebook page.\n\n2. Keep up with the pace - Get your customers involved with your business in real time. It’s such a fast paced society now, you don’t have the time or money to change and update your website every day, but you can update your customers quickly, all at once, on social media.\n\n3. Common Interests - Your customers can see your personality and that you are a real person who cares about them through your interest.\n\n4. Shared Goals - Use the time efficiency of the social media tools like hashtags and group discussions to stay informed and find people with the same goals in their business or potential customers.\n\n5. Sense of Connection - read about your colleague or customers awards, accomplishments and like them or respond to it. Let them know you are keeping up with what is going on in their world.\n\n6. Self Disclosure - Through your post, photographs, and personality, you will convey an impression on your followers. There are some that I like to call Oversharers or overposters. They think everyone wants to know everything they are doing, everything they ate and who they are will all day long. Please don’t be one of those. Just stick to once or twice a day with a general thought or share something you found helpful. \n\n7. Community Cohesion - Use the community in social media to strengthen the bond through news, discussions, events, and helping each other. Be a positive influence and remember if it’s online, it’s pretty much permanent.\n\nHere are some examples of how others have done this successfully. \n

I am not a customer of RBFCU, they are not a customer of mine, I just found this as an interesting case study to share with you.\n\nRBFCU a good example of a financial institution using Facebook to engage their customers. They have 3,610 fans (probably more by now) and they ask questions that provoke a response. \n\nIt says - Good Morning - back to work, everyone! What’s the best thing you had to eat this weekend? Did you use your Freedom Check Card to buy it? Within 20 min. They had responses with 3 likes and one comment. \n\n
  140. Further down on the page they have this picture of an adorable puppy. Look at the response it got. 114 people liked it and 8 people commented.\n\nTo the right, you see they are letting the FB fans know they are in the San Antonio Business Journal’s social madness challenge. They are inviting them to vote and giving them the link to do so. Then someone commented about how great they are and the Credit Union responded to their comment. \n\nAnother thing they did is invite their followers to see them at a community event at the SA Summer Art and Jazz Festival.\n\nSo those are just a few examples of engagement marketing with Facebook. \n
  141. Here is an example of a CPA with a nice engagement of Twitter. He has a nice scenic background that shows his credentials and contact information. He has 3,180 people following him. That’s a lot of influence. He post at least twice per day and shares stories that are interesting to him and relevant to his followers.\n\nIf you click through to his website he offers a Tax Center, Financial Guides and other resources including recommended books that are related to the financial side of business. I would rather read a financial book recommended by my CPA than from even a friend. I think this is a really smart idea.\n

This is a more professional social network where you can join groups like the SA- CPA Society and join discussions and learn about training opportunities and get referrals.\n\nWith Linked In you should set up a profile for yourself and a profile for your company and then join various groups that interest you. The recommendation is up to 40 that are in your target market and 10 that are in your industry. \n\nI do advise that you turn off the email notifications if you do this. Otherwise, you will be covered up in email. However, it will be a place you can review what is being said and what are the trending topics for your target audience. You can review it in just 10-15 min per day and you will know how to reach them. It may be saving money, it may be planning for retirement, or even organization of the financial files. \n

Give recommendations for books or software or travel destinations that save money, anything that you feel is needed and will help your customers.\n\nNow we are going to switch gears a bit and talk about how you can implement your Social Media Policy. How do you make sure its consistent to your company standards?\n
  146. How to get into the right frame of mind. \n\nConsider your Social Media as the lobby of your business. It’s where things are informal and friendly. \n\n1. Find out where your customers are. Put a simple sign on your reception desk that says, “Are you using Social Media?” Start the conversation. Find out which ones they like best and how often they are on. Do they have suggestions of things you could provide for them?\n\n2. Do you have someone willing who can devote the time you need answering questions and making post? It’s not just about getting online, you have to commit to monitoring and participating or it won’t work. If you don’t, wait until you do.\n\n3. Don’t go into this trying to promote your business. Your objective is to connect to your customers as the human behind the business. Focus on the customers, wish them happy birthday, share local interest with them, etc.\n\n4. If you need help, get it without relinquishing your identity. You can delegate this to someone or an agency outside for a while still keeping your voice. Hire them to help you until you get more comfortable and can devote 30 min to an hour per day.\n\n5. Don’t measure your success by follower counts. It’s okay not to have many, your goal should be to have engagement with your followers. Grow slowly and take care of the ones you have. In the long run it’s better to have a devoted and supportive community. Be patient, it won’t happen overnight.\n\n

Embracing social media does not mean you should abandon everything to those who “know how”. One of the best practices involves careful management and protection of your brand. But you must enable conversations.\n\n1. Enabling conversations means you are giving a voice to your customers and letting them know you care about what they have to say.\n\n2. You may not be able to control the conversations but you can influence them. Keep this in mind and know that you are the expert, they will be looking to you for a tip or hint of how you think.\n\n3. Defining your content is just deciding how you want to be perceived. Ask around to others, have them view your website or Facebook page, make sure it is perceived the way you want it to be. If not, adjust it.\n\n4. Build a strong community with sticky content. Whether you are on Facebook, YouTube, or Twitter or LinkedIn, be interesting and ask questions.\n\n5. Plan your content. Use a calendar and meet with your staff once a month to discuss what topics you want to put out to your visitors regularly. On Monday’s it can cover the weekend news, Tuesday’s can be a tips, Wednesday can be wordless Wednesday where you just post an image, Thursday is tell us your tax story in 3 sentences, Friday is Fun day, share an accounting joke or something like that. \n\n6. Be Consistent, if you aren’t dependable and committed, they will know and you will lose them. \n\n7. Use images and videos, even if it’s not your video, if you found an interesting story, SHARE it with your community.\n\n8. Support your local community in the local events, even if you aren’t participating, link to their pages, ask people if they are going. \n\n9. Have your own voice. Use everyday language, and if you do use other terms, explain them.\n\n10. Spend equal time reading and writing. You need to expand your knowledge of your visitors like they need to get to know you. Be a good listener and respond to them.\n\n\n\n
